Student Work Placement Program 2024: Digital Project Officer

Project and job objectives: RavenSpace Publishing Technical Documentation project 

RavenSpace is a ground-breaking publishing and digital initiative driven by ethical values. This 4-month position will offer experience working with an interdisciplinary team of professionals in the fields of digital media and Indigenous cultural heritage, developing skills in areas pertaining to digital media and information management, project management, technical documentation, and publishing.  

Job Title: Digital Project Officer Start Date:  May 22, 2024

You will be working with the RavenSpace digital production team, as an employee of the U’mista Cultural Centre.

400 hours (roughly 25-28 hours per week, depending on start and end dates) Salary: $23-25/hour. 

Hybrid. The position will be located at UBC Press, UBC Point Grey campus, located on the traditional, unceded territory of the xʷməθkʷəy̓əm (Musqueam) people. A dedicated desk and laptop will be provided. Remote or hybrid work may be possible, depending on secure IT considerations.

Job Summary

Working for RavenSpace Publishing and UBC Press, as an employee of U’Mista Cultural Centre, this student will be responsible for a variety of tasks to support the development of technical documentation of the RavenSpace publishing process.  

Job description

The student will gain knowledge about technical documentation, as well as the expanding fields of knowledge information systems and multimedia production.  Interns will be actively involved in designing, building and populating a technical documentation wiki that meets the needs of RavenSpace staff, authors, contractors and interns. They will gain skills in management of assets, documentation and production workflows. Their work will respond to emerging needs for technical documentation of multimedia publishing that is culturally responsive and accessible.

No special technical skills are needed to contribute to this project. Students will be required to think in a critical and careful manner about technical documentation and the needs of RavenSpace staff, authors, students, vendors and other collaborators. They will also have the opportunity to learn or expand their aptitude by helping develop wiki-based technical documentation for RavenSpace’s innovative publishing process.

Description of tasks 

Coordinate, and assist with:  

  1. Technical documentation audit
  2. Development of documentation file hierarchy
  3. Verification of currency and reliability of technical documentation
  4. Sourcing and verifying external technical documentation (i.e. vendor user guides)
  5. Building wiki architecture
  6. Populating wiki
  7. Archiving existing documentation

Skills to be gained (marketable skills) 

  • Project and production management
  • Agile project management skills and experience working with a project team from weekly team meetings; monthly retrospectives and participation in workplan scoping and task creation, using Asana. 
  • Production management skills and experience through coordinating, tracking and documenting workflows, and testing and evaluating production tools. 
  • Written and interpersonal communication skills through email correspondence, team participation, and liaising with authors and vendors. 
  • Decolonizing work and perspective-taking through work with RavenSpace processes, research of protocols, and interaction with Indigenous communities, creators and content. 
  • Industry knowledge through researching best practices and participating in meetings with industry professionals, authors, and other creators.   
  • Industry best practice skills in documentation maintenance and verification
  • Software skills (wiki-based)
  • Content management skills using content management systems such as WordPress and skills with spreadsheets, databases, media and metadata repositories (DSpace, Omeka or similar). 
  • Quality Assurance, testing, proofreading. 
  • Documentation skills such as creating a manual or a video tutorial. 
  • Skills in public-facing materials targeting specific audiences. 

Candidate profile 

  • Students of media arts or digital design or; Museum, education, and cultural heritage; or Library, archives and information sciences or; Production or project management or; Indigenous Data management or; Instructional design or; Indigenous Studies; humanities.
  • Strong written and interpersonal communication skills  
  • The ability to distill and summarize information clearly and concisely  
  • Experience working with a project team  
  • An aptitude for problem solving and knowledge sharing  
  • Software skills and curiosity to learn such skills (see below for a list of preferred software)  
  • Commitment to exploring the broadest use potential for multimedia publishing  
  • Desire to work with, or from within, Indigenous communities or projects  
  • Experience with any of the following is not mandatory, but is particularly valued:
